How HomeTrace Works
A lightweight layer that sits alongside your existing repairs system. No migration, no disruption, just fewer wasted journeys and more completed repairs.
The problem we solve
Housing association repairs teams lose thousands of operative hours every year to no-access visits - appointments where the operative arrives and no one is home. HomeTrace gives coordinators the visibility and tools to identify those appointments before they become wasted journeys, capture cancellations early, and reallocate the freed-up capacity to other jobs.
Appointments are imported or synced
HomeTrace connects to your existing repairs or housing management system. Upcoming appointments are pulled in automatically, so there's no manual data entry and no need to change how your team raises or manages jobs.
Works alongside: Northgate, Civica, Capita, NEC, and other common housing management platforms.
At-risk appointments are flagged
HomeTrace monitors your appointment schedule and surfaces visits where resident availability hasn't been confirmed. Coordinators see a prioritised view of which jobs are most at risk, giving them time to act before the operative sets off.
Risk signals include: unconfirmed bookings, short-notice appointments, repeat no-access history at an address, and more.
Residents are contacted automatically
For flagged appointments, HomeTrace sends automated reminders to residents via SMS or email. Residents can confirm they'll be home, request a reschedule, or flag that they won't be available, all without calling the contact centre.
Reminders are sent at configurable intervals, for example, 48 hours and 24 hours before the appointment.
Cancellations are captured early
When a resident indicates they won't be available, HomeTrace captures that response immediately and alerts the coordinator. The appointment is flagged for reallocation before the operative has left the depot, not after they've made a wasted journey.
Coordinators are notified in real time, with enough lead time to act.
Freed-up slots are reallocated
Cancelled slots don't disappear, they're surfaced as available capacity. Coordinators can fill them with other jobs from the backlog, maximising the number of repairs completed per operative per day.
Over time, HomeTrace data helps teams understand which appointment types, areas, or resident profiles carry the highest no-access risk.
Designed to sit alongside your existing systems
HomeTrace isn't a replacement for your housing management or repairs system. It's a lightweight operational layer that works with what you already have. There's no rip-and-replace, no lengthy implementation project, and no need to retrain your whole team. Most organisations are up and running within weeks.
